Job Title: Legal Administrative Assistant 

Work Location: Austin, TX, (2 remote days available)

Classification: Full-Time, Non-exempt

Key Responsibilities:

  • The Legal Administrative Assistant provides comprehensive administrative support services for a group of Litigation Attorneys.
  • Draft, type, format, proof, and revise many types of legal, agency, business documents, and continuing legal education papers.
  • Provide superior customer service to potential and established clients, vendors and colleagues through email, telephone, and voicemail.
  • Provide timely and effective follow-up and follow-through on outstanding matters.
  • Schedule and coordinate depositions, court reporters, and videographers as needed. Calendar deadlines for incoming mail, pleadings, and hearings.
  • Open new matters utilizing firm computer program; prepare physical files for new matters; gather necessary information to complete conflict of interest checks.
  • Maintain document management system’s electronic files for client and administrative matters, including downloading court filings, discovery, production, email, correspondence, proof of service as appropriate, vendor invoicing, contact/mailing lists, expense reports, continuing legal education, court admissions, professional associations, and business development activities.
  • Prepare and submit court filings in State and Federal Courts; prepare paper files as needed. E-file/serve legal documents on parties in legal actions.
  • Distribute copies of incoming and outgoing documents/files to client contacts.
  • Enter/proof time entries, including those for electronically billed matters. Revise pre-bills for attorney review. Transmit finalized invoices to client contacts.
  • Make appointments and travel arrangements for attorneys. Create/submit reimbursement/expense reports to submit to the accounting department upon completion of travel and other business-related activities.
  • Receive and make telephone calls, open and sort mail, and perform other administrative duties as assigned.
  • Maintain privacy rules by not revealing information other than to the appropriate parties involved in legal action.


Skills and Requirements:

  • Bachelor’s degree.
  • Training from a business/vocational school or other legal education preferred.
  • 5 years’ current experience as an executive level legal secretary preferred. Proficient with local, state, and federal filing rules, elementary legal procedures, and legal and business terminology.
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat, including use of software for document comparisons across formats; proficiency with table of contents and table of authorities.
  • Excellent written and verbal communication skills.
  • Familiar with enterprise time and billing systems, preferably SurePoint (LMS) and iTimekeep.
  • Familiar with document management system, preferably iManage.
  • Detail oriented and able to prioritize, multi-task, and work well under pressure.
  • Professional, polite, and positive client-centric attitude.
  • Committed to a team-oriented approach to working on client and administrative matters.
