Job Summary: The Legal Secretary (Floater position) provides administrative support services for various practice groups throughout the firm including Bankruptcy & Restructuring, Corporate & Tax, Electric Energy, Environmental & Water, Labor & Employment, Litigation, Oil & Gas, and Wealth Preservation and Estate.
Key Responsibilities:

Draft, format, and revise various types of legal, agency, and business documents; ensure accuracy of documents.

Provide superior customer service to clients, vendors, and colleagues. Schedule and coordinate depositions, court reporters, and videographers. Input information into a time and billing and document management systems. Calendar deadlines from incoming mail, pleadings, and hearings.

Open new matters utilizing firm computer program; prepare physical files for new matters; gather necessary information to complete conflicts checks, perform conflict of interest checks, and maintain all client and general files.

Prepare files and submit court filings through State and Federal Courts.

Perform e-filing/service of legal documents and make service on opposing parties.

Schedule appointments, receive and make calls, open and sort mail, make travel arrangements, submit reimbursements/expense reports, and perform other administrative duties as assigned.

Maintain privacy rules by not revealing client information.
Skills and Requirements:
- Bachelor’s degree.
- Training from a business/vocational school or other legal education preferred. 5 years current experience as a Legal Secretary.
- Proficient with local, state, and federal filing rules, elementary legal procedures, and legal and business terminology.
- Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
- Excellent written and verbal communication skills.
- Familiar with enterprise time and billing systems, preferably SurePoint (LMS), Chrome River, and ITimekeep.
- Familiar with document management systems, preferably iManage.
- Detail oriented and able to prioritize, multi-task, and work well with various deadlines. Professional, polite, and positive client-centric attitude.
