RECEPTIONIST/ADMIN ASSISTANT

Job Summary

Provide reception and general admin/office services support to small Dallas law office. Primary duties include welcoming and directing guests to the firm, answering and transferring phone calls, coordinating and setting up meetings and meals, copying documents, maintaining office supply stock, delivering mail, sending and receiving packages, arranging pickups and deliveries, and coordinating with facility vendors. Part-time, 20-25 hrs/wk, Mon-Fri.

Key Responsibilities

  • Welcome clients and guests to the firm
  • Answer and transfer or handle all incoming phone calls
  • Validate parking
  • Coordinate and handle courier services
  • Maintain reception area
  • Coordinate meeting room calendar and arrange for IT equipment and support; prepare, stock, and set up meeting rooms, including food and drink orders, arrangements, and service; clear and straighten meeting rooms after events
  • Perform all functions required for the timely and high-quality completion and delivery of copy requests, including using binders, folders, laminators, etc.
  • Perform basic troubleshooting and maintenance on all equipment used within the copy room and throughout the firm
  • Process all incoming and outgoing mail; perform other mail functions, such as mail fulfillment, which includes sorting, filing, packaging, and processing shipments for delivery to multiple locations. Use vendors such as FedEx, UPS, DHL, overnight courier service, etc.
  • Maintain inventory of all items and supplies throughout the firm, and place supply orders for office personnel and to replenish inventory
  • Coordinate facilities requests including building and off-site parking, HVAC, building access, repairs and maintenance (water leaks to pest control)

Requirements

  • High school diploma; some college or business/vocational training preferred
  • 3 years related work experience, preferably in a professional services environment, law firm experience a plus
  • Proficiency in Microsoft Word and Outlook
  • Good written and verbal communication skills
  • Detail oriented, organized, and resourceful
  • Able to prioritize, multi-task, and work independently under pressure
  • Professional and polished business demeanor and appearance
  • Client-centric, calm, and cooperative spirit
  • Notary and secretary experience a plus

Job Summary

The Legal Secretary provides administrative support services for a group of three transactional/real estate attorneys and one litigation attorney.

Key Responsibilities

  • Schedule appointments, receive and make telephone calls, open and sort mail, make travel arrangements, and perform other administrative duties
  • Schedule and coordinate depositions, court reporters, and videographers
  • Input information into a time and billing, customer relationship management, and document management systems
  • Draft, type, format, and revise many different types of legal, agency, and business documents
  • Calendar deadlines from incoming mail, pleadings, and hearings
  • E-file in state and federal courts and make service on opposing parties
  • Maintain files and indexes
  • Maintain privacy rules by not revealing information other than to the appropriate parties involved in a legal action

Requirements

  • High school diploma
  • Training from a business/vocational school or other legal education preferred
  • 5 years legal secretary experience
  • Proficient with local, state, and federal filing rules, elementary legal procedures, and legal and business terminology
  • Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat
  • Excellent written and verbal communication skills
  • Familiar with any enterprise time and billing system, preferably Elite and Webview
  • Familiar with any customer relationship management system, preferably SalesForce/OnePlace
  • Familiar with any document management system, preferably iManage
  • Proficient with transcription equipment and able to transcribe
  • Detail oriented and able to prioritize, multi-task, and work well under pressure
  • Professional, polite, and positive client-centric attitude
